Running your business with Excel and Email

Microsoft Excel is a fine tool for organising your data into having some basic structure for analysis, but it is a far from optimal solution for running a business.  However, there are several good reasons why you shouldn't run your business using Excel spreadsheets:

  1. Limited scalability: As your business grows, the amount of data you need to manage also increases. Excel has a limited capacity to handle large amounts of data, and it can become slow and unwieldy, making it difficult to manage and analyze your data effectively.
  2. Inadequate data management: Excel does not have built-in tools for managing data in a secure and organized manner. This can lead to data inconsistencies, errors, and duplication, which can undermine the accuracy and reliability of your data. It is far too easy to accidentally move data or calculations which will introduce errors.
  3. Lack of collaboration: Excel is not built from the ground up for collaboration, making it difficult for multiple users to access and work with the same data at the same time. This can lead to version control issues and wasted time trying to merge changes made by multiple users. The other side to this is that there is no fine grain control of security.
  4. No real-time updates: Excel does not have real-time updates, so changes made by one user are not immediately visible to others. This can lead to confusion and mistakes when multiple users are working on the same data.
  5. Limited automation: Excel has limited automation capabilities, meaning you may have to manually perform repetitive tasks such as data entry and data analysis. This can be time-consuming and prone to errors.

Email is widely used as a communication, but as a business tool it has a number of limitations:

  1. Limited organization: Email lacks the ability to organize information in a centralized and structured manner, making it difficult to track and manage information related to specific projects, customers, or employees.
  2. Lack of collaboration: Email is not designed for real-time collaboration, making it difficult for multiple users to work on the same information at the same time. This can lead to version control issues and confusion over which version of a document is the most up-to-date.
  3. Inadequate data management: Email is not a secure or organized method for storing data, making it difficult to access and manage data over time.
  4. Overload: Email can quickly become overwhelming, with an endless stream of messages to sort through and respond to. This can lead to missed messages, missed deadlines, and decreased productivity.
  5. Limited automation: Email has limited automation capabilities, meaning you may have to manually perform repetitive tasks such as data entry and data analysis.
