Security: A path traversal vulnerability in FileMaker Server allowed remote code execution by specifying a system script schedule with an executable path that navigated outside the permitted Scripts folder. System script schedules are now restricted to executables within the /FileMaker Server/Data/Scripts folder. Additionally, system script parameters may no longer include ; & | ` < > $ % * ? or newline characters.
Security: JWT tokens were stored in localStorage when signing into Admin Console and are now stored only in sessionStorage.

Model Context Protocol (MCP) support in FileMaker 2025

What is Model Context Protocol?

Model Context Protocol (MCP is an open-source standard introduced by the AI model company Anthropic in late 2024 - full details can be found at the modelcontextprotocol.io site. Essentially, MCP allows AI apps like Anthropic's Claude or OpenAI's ChatGPT to connect to data sources, tools and workflows to facilitate them accessing unique information to your organisation to enable them to perform tasks.

Why MCP matters for Claris FileMaker customers & developers

To try leverage the power of AI, businesses need to be able to bridge the gap between existing data silos and the next generation of large language model (LLM) tools. Despite, significant enhancements to the Claris FileMaker platform in FileMaker 2024 and FileMaker 2025 releases to make integrating with AI tools easier, there can still be a significant development effort depending on the specific API & functionality required.

Your FileMaker Server will need to be accessible from the internet, the Server will need to have the FileMaker Data API and OData services enabled as well as a login with access to your data using these services configured in any files which you want to expose to the MCP connection.

How does it work?

A Day in the life of Claris FileMaker Developer in 2026 - Part 2

What does a Claris FileMaker do?

This is the 2nd part, continuing on from the 1st part , we asked our most veteran consultant developer, Jonathan Taberner and the most recent addition, Salman Javaherai to contrast their experiences and provide an insight for our customers as to what a working day looks like for a professional Claris FileMaker Developer in 2026.

Artificial IntelligenceI & Large Language Models in FileMaker Development

How are you (or the team) experimenting with AI and LLMs within FileMaker?

SJ: We’re experimenting with using an AI chatbot connected to internal knowledgebase. The idea is to give our team quick access to insights or historical solutions without having to dig through old documentation. It’s already proving useful for speeding up internal troubleshooting.

JT: We are offering our customers natural language searches as part of standard development.

What are the biggest opportunities you see for private AI in client solutions?

SJ: A huge opportunity is for technical support teams, they could resolve tickets faster by having AI automatically referencing similar past issues, without the risk of leaking customer information or passwords.

JT: The ability to run AI searches and summaries without sending data outside of the company network.

Can you give an example where AI/LLMs made a meaningful impact in a client project (or could in the near future)?

SJ: A practical near-term example is support ticket triage. AI could compare a new issue to similar historical cases and suggest likely pathways or fixes. It won’t replace support staff, but it will make them dramatically more efficient by removing repetitive searching. It could even make suggestions directly to the customer before the engineer has even read it, or it could guide the customer in the ticket submission process, by ensuring all required information is submitted (which is never a one size fits all process).

JT: I am currently working on a solution for an Engineering customer to verify product certificates against UK ISO standard specifications. We are also looking at using AI as an OCR tool to extract text where the certificate is saved as an image.

Collaboration & Problem-Solving

What’s the toughest technical challenge you’ve solved recently—and how did you tackle it?

SJ: One of the toughest challenges involved WebDirect worker machines not firing up reliably. The Claris documentation wasn’t quite clear on the networking requirements, so I built a testing environment and worked through it via trial and error, supplemented by advice from the Claris Community . Another challenge was a WebViewer freeze triggered by a hide condition—ultimately it turned out to be a FileMaker bug. I reported it and implemented a workaround, removing the hide condition and rethinking how layout objects were handled.

JT: We recently collaborated with a third party designer for the development of the Venue Dashboard for Band On The Wall . The designs looked great but some were a challenge to replicate in Claris FileMaker while retaining a robust user experience. We used FileMaker’s hide/show layout objects to create the illusion of subsummary parts in a list – also made good use of card windows. We (and the client) were very pleased with the results!

How does the team collaborate to brainstorm solutions or keep up with the fast pace of Claris updates?

SJ: Our regular team meetings always include space for general questions, sharing discoveries, and helping each other think through architectural decisions. It creates a steady flow of knowledge and keeps us aligned with platform changes.

JT: We regularly attend Claris Webinars and share development tips within the team. We discuss challenging or problematic development in our regular team meetings. We also have separate scheduled meetups to discuss and update documentation for client solutions.

As a developer, how do you keep learning and staying sharp with new FileMaker features?

SJ: I regularly read FileMaker blogs, subscribe to community newsletters, and watch YouTube channels like FileMaker Training and FMDisc . I’ve also been going through Claris’s “ Under the Hood ” videos, which offer great context for long term design choices, and deeper architectural understanding.

JT: The best incentive I have is that I have never lost my excitement with what can be done with FileMaker – and as this is constantly evolving I always have something to be excited about. I keep an eye on Twitter(X) feeds and bookmark anything of interest for follow-up.

Looking Ahead

What do you think the next big trend in the Claris ecosystem will be?

SJ: think integration of all the components will continue further, with Studio and Connect interacting with Claris FileMaker more seamlessly.

JT: The ongoing enhancement of AI features and the evolution of AI services available. We are just at the start of this journey!

How do you see AI, Claris Studio, and Claris Connect shaping the future of custom app development?

SJ: I think AI will assist in app development, so the developer and client will have an initial and ongoing discussion with the AI, in order to build and maintain solutions.

JT: These will all evolve to work more closely with FileMaker to extend capabilities. I also expect AI to integrate and assist with development (while still requiring experienced developer input!)

What advice would you give to organisations still running their operations on spreadsheets or outdated systems?

SJ: I’d ask them when they last felt passionate about the company mission. Spreadsheets are great for simple tasks, but once they’re being used as a core part of the business, they weigh everyone down by taking up mental energy, due to the inevitable mismatch between their design and company processes, not to mention the inconveniences of cleaning up mistakes made from incorrect data.

JT: “Have a look at some of our solutions and see what is possible.” Most clients who come to us with one of these solutions will tell us of their woes with using outdated systems or trying to collaborate on projects using spreadsheets. They are usually excited to hear that data can be shared using FileMaker and that it only needs to be stored once.

What does a Claris FileMaker do?

The work of planning, designing, developing and supporting custom solutions using the Claris FileMaker platform is a core part of DataTherapy's service, providing interesting, challenging and rewarding work for our Team since inception. To celebrate our 31st year of business, we asked our most veteran consultant developer, Jonathan Taberner and the most recent addition, Salman Javaherai to contrast their experiences and provide an insight for our customers as to what a working day looks like for a professional Claris FileMaker Developer in 2026.

Background & Daily Workflow

What does a typical day look like for you as a FileMaker developer at DataTherapy?

SJ: A typical day starts with checking emails and reviewing the progress of any overnight tasks or scheduled scripts, just to make sure everything ran as expected. From there, I usually move between project planning, actual development, and the occasional quote or scoping session for a client request. There is always a satisfying mix of planning, collaboration, problem-solving and building.

JT: I usually have some project work on the go but need to balance this with routine tasks such as monitoring server backups and exports and also be available for any requests which come in from our customers with support contracts. If the issue is urgent we look at it straight away – if not we reply and schedule it. If I have the choice I prefer to do the most challenging work in the morning when I am sharpest but doesn’t always work out that way! We all mostly work remotely – I am either in my home office or a shared office space in town.

How do you balance client meetings, design, coding, and testing?

SJ: For me, it’s all about managing and adhering to my focus levels. Design and testing require the deepest concentration, so I treat those like “deep work” sessions in the Cal Newport sense —time where I try to minimise interruptions and really think through the architecture. Pen and paper, screen off, is really handy here. Coding and client meetings, on the other hand, have more natural breaks and tend to be a bit more caffeinated. When I’m stuck on a tricky problem, I’ll take a short break to let ideas percolate; the elegant solution usually arrives once your brain gets some space.

JT: Working as part of a team it is good to spread this out a bit. We usually have several developers on an initial client call and are able to discuss, proof read proposals and sense-check plans, etc. Likewise with testing we can ask another member of the team to test a solution as an end user – even better if they have not been involved in the development progress!

What do you enjoy most about building solutions on the Claris FileMaker platform?

SJ: Claris FileMaker lets you build almost like a painter paints—you can design the interface, model the data, and shape the logic all in the same space, without constantly jumping between separate tools or layers. In FileMaker, it all happens immediately, right in front of you, which makes the process feel fluid, creative, and incredibly satisfying for both the developer and the client watching it come to life.

JT: I am still amazed and excited by how quickly we can build solutions using FileMaker. I enjoy the challenge of trying to produce an elegant solution – efficient coding with a view to speed and robustness of the solution. Best of all is delivering a solution which exceeds the client’s expectations so they are happy and looking forward to the next enhancements.

Expertise & Platform Evolution

Which version of FileMaker did you first start working with and what is the biggest change or feature that excites your about the most recent FileMaker 2024 & FileMaker 2025 releases?

SJ: I started developing back in FileMaker 6, just before the first major change of multi table files was introduced in version 7.

In the latest releases, the features that stand out most to me are the improved JSON parsing and the enhanced WebDirect features—especially things like being able to properly disable the back button.

JT: The first version of FileMaker I had was version 3. I became a professional developer on version 7 in 2005. It has to be the new AI features in FileMaker 2025 – we are already putting these to good use and this is just the beginning!

Which recent FileMaker feature has had the biggest impact on the way you build solutions (e.g., JSON, transactions, script enhancements, Layout UI improvements)?

SJ: Transactions have had a huge impact. They let us handle bulk record changes in a safe, controlled way without writing so much defensive code. The Execute FileMaker Data API step is another great addition—it simplifies minor record operations and simplifies scripts. And JavaScript in web viewers has opened the door to more standardised UI components and advanced reporting.

JSON took me a little longer to get used to. For a while I just implemented for very specific cases such as bulk record transfers, but now I probably use it in every script for more minor things.

JT: JSON – for interaction with third party APIs and a great way to pass data within a solution (eg script parameters).

How do you ensure solutions remain scalable, secure, and future-proof?

SJ: I try to stick to fundamentals: use as many of the ‘traditional’ FileMaker features as possible, keep the architecture clean, and avoid unnecessary complexity. I’m also cautious about unstored calculations—useful in the right contexts but expensive if overused.

I’m also conscious of the risks of “premature abstraction”. You don’t need to eliminate every repetition in a script or calculation if doing so makes the logic harder to read, maintain, or adapt later. FileMaker solutions are inherently fluid—clients often request rapid changes, and we need to deliver quickly—so chasing the “perfectly abstracted” or “textbook-clean” version can actually slow things down.

I’ve been caught out with adopting new FileMaker features the moment they appear. New tools are great, but it takes experience to judge when they’ll genuinely save time versus when they add unnecessary complexity.

JT: We periodically review solutions which we support for possible enhancements using new features. We design solutions to be scalable to large datasets but some issues still only become evident after the solution is well in use. We are flexible in our coding and pool ideas as a team to achieve greater database efficiency.

Claris Stu dio & Connect

Have you integrated Claris Studio into your projects yet? What’s been your impression—where does it really shine?

SJ: Yes, I’ve tested out Claris Studio integration, for “fire-and-forget” web forms where users need to submit data without having a FileMaker account. The more recent addition of direct access to FileMaker tables makes configuration (not having to use Claris Connect as an intermediary) that much quicker. It’s great to have a truly anonymous and secure way into the FileMaker data.

JT: I am currently not significantly using Claris Studio. It has great potential but I still see it as a work in progress.

How do you see Claris Connect changing the way clients approach integrations?

SJ: Claris Connect lowers the technical barrier for clients who want to link their systems with external services like Mailchimp. Instead of managing APIs or custom scripts, Connect offers a more hands-off, approachable way to automate processes. It brings integrations within reach for organisations that previously would have seen them as too complex. For administrators it’s nice to have the option of having some automated processes outside FileMaker Server.

JT: It is very quick and easy to set up an integration using Claris Connect – we use this in combination with custom API solutions. The triggers in Claris Connect are particularly useful.

Can you share an example of how you’ve used these tools to streamline client workflows?

SJ: One example is an events management client who needed a simple way for staff to submit availability without a set of credentials. Using Claris Studio, we built a clean, login-free submission process that feeds directly back into their FileMaker system. It removed admin overhead and gave staff a frictionless way to provide data.

JT: We set up an integration for a jewellery studio between their FileMaker database and Shopify. Triggering when orders change status and uploading product details and pricing. This uses a combination of Claris Connect and custom API coding.

Where are you at with your data?

There is no ‘typical’ client journey when building custom business apps, but there are common phases which most client approaches to data management pass through in the process of building a new system. In discussions with several recent clients, I have been struck by how DataTherapy’s approach to building new systems resembles Maslow’s Hierarchy of Needs theory from the field of human psychology .

Maslow's theory proposes that human needs are arranged in a pyramid with five levels, from basic, mechanical physiological needs to self-actualization (purpose & meaning). The levels are: physiological (food, water, shelter), safety (security, stability), social (love, belonging), esteem (respect, recognition), and self-actualization (achieving one's full potential). According to the theory, individuals must satisfy lower-level needs before they can focus on higher-level ones.

Claris FileMaker turned 40 in 2025, which is a remarkable achievement for any software product - especially as the development and evolution of the platform remains as vital and relevant to businesses now as it did back in the 1990s. Many of the senior members of DataTherapy Development Team have been using FileMaker since the 2.1 release. This is especially impressive if you remember the scope of technological change which has occurred over the last 25 years through the lens of the Claris' Parent Company, Apple:

Background

The St Mark’s Centre for Familial Intestinal Cancer (SMCFIC) (incorporating the Polyposis Registry and Family Cancer Clinic) is run by a team of specialists consisting of Colorectal Surgeons, Gastroenterologists, Nurse Practitioners, Nurse Specialists and Administrators. The team works together to ensure prompt diagnosis and surveillance of patients with a genetic condition associated with bowel cancer or from a family at high risk of bowel and other cancers.

The Challenge

SMCFIC look after individuals and their families throughout their healthcare journey. They also provide education for healthcare professionals and the public and actively carry out research.

SMCFIC originally maintained databases of patients and families affected by familial intestinal cancers and conducts on-going research in genetics conditions such as Familial Adenomatous Polyposis (FAP) and Lynch Syndrome as separately data silos. Originally these databases were built when genetic diagnosis was in its infancy, but over the last 10 years has seen a massive rise the sophistication and level of precision which is available in genetic testing.

SMCFIC approached DataTherapy to consolidate and refactor their databases into a single consolidated system which would make both their patient follow-up and research more streamlined and efficient.

Windows 10 is End Of Life time - Time to update your FileMaker?

Windows 10's official End of Support date is October 14, 2025 , after which Microsoft will stop providing free security updates, technical support, and feature updates. While your PC will continue to work, it will become vulnerable to security risks, malware, and viruses, so Microsoft recommends upgrading to Windows 11 or using a new PC.

While Claris FileMaker Pro 19, 2023, 2024 and 2025 all initially supported running on Windows 10 or Windows 11 on release, only FileMaker Pro 2024 and 2025 are now still supported by Claris. FileMaker Pro 2024's EOL date is June 2026 and FileMaker Pro 2025's EOL date is July 2027.

Previously, we discussed how it is possible to run your own private AI service powered by Ollama using the llama3.2 model for text generation and also image recognition on commodity Apple hardware. However, there are many other publicly available models which can work with Ollama, including Google's Gemma, Alibab Cloud's Gwen, Mistral's Devstral, Microsoft's Phi and perhaps the most prominent to the general public and DeepSeek's R1 which we also discussed in a follow-up blog article . Ironically, despite their name recognition OpenAI had not yet made any of their models available in an open source implementation which would be compatible with Ollama until the release this month of the gpt-oss:20b and gpt-oss:120b models (August 2025).

How does gpt-oss stack up compared to llama and deep seek-r1?

gpt-oss:20b - 14GB size, so should run with reasonable performance on a 24GB Mx series Apple processor (or better).
gpt-oss130b - 65GB size, so will likely require 128GB Mx Pro Apple processor at least.

So based solely, on model size gpt-oss:20b is significantly heavier minimum memory footprint than the more entry level deepseek-r1:8b (5.2GB) or llama3.2 (2GB) models.

Llama is released on a Community License basis - it is tied to Meta's Acceptable Use policy (restrictions on apps using over 700m monthly users without negotiation, not competing model enhancements and has ethical restrictions); both gpt-oss (Apache 2.0) and deepseek-r1 (MIT License) are fully open source (i.e. no usage limits or competition bans).

Running gpt-oss:20b locally and connecting to Claris FileMaker

Set-up is the same as outlined in our original blog article here for Llama. The only difference is that you have to download and change the model identifier (i.e. 'get-oss:20b') and optionally you can specify a value for the 'temperature' parameter. Temperature informs how 'random' or 'creative' the model's output should be. A low temperature (close to 0) would push the model response to favour the most probably token at each step and so the output would be more deterministic, focuses, repetitive and predictable. By contrast a high temperature (>1) would push the model to spread probability more evenly across possible tokens and so the output should be more creative and diverse, but is also more likely to be error prone or incoherent. As a general rule of thumb:

0.0 - 0.3 - Very deterministic, almost always the same output for the same prompt. Useful for:

Factual answers.
Structured text (SQL, JSON, coding).
Consistency in testing.

0.5 - 0.8 - Balanced creativity vs accuracy (0.8 is the default if no parameter is specified). Useful for:

General conversation.
Business writing.
Explanations where tone matters.

0.9 - 1.5 More variety, more “imaginative”. Useful for:

Brainstorming.
Storytelling.
Creative writing & roleplaying.

gpt-oss:20b p erformance on commodity hardware

As a quick performance test, I timed the response times for the simple query 'Give me 5 blog ideas for the Claris FileMaker platform'. on my M3 24GB MacBook Air: llama3.2 generated a response in 13 seconds; deepseek-r1:1.5b generated a response in 9 seconds; gpt-oss:20b took 56 seconds - 1min 26 seconds depending on the temperature (increasing temperature decreases response time).

Subjectively comparing the outputs, the deepseek-r1:1.5b was very generic, it obviously was aware that FileMaker was a database platform, but clearly didn't have any detailed information on its feature and usage in the training set and so came up with 5 very generic responses which wouldn't really be of any use for me to write a real blog article; llama3.2's suggestions by comparison were much more credible ('Best Practices for Building Scalable FileMaker Solutions', ' FileMaker vs. Other Business Application Platforms: A Comparative Analysis', etc) and gpt-oss was more detailed and demonstrated more detailed comprehension of the modern platforms uses and features ('From Desktop to Device: Building a Mobile‑First FileMaker App with Claris Connect & Cloud', 'Zapier + FileMaker = Workflow Automation for Small Teams', etc). However, running a query with high temperature (1.5) does highlight the risk of inaccuracy - while I have often touted the speed of development of the Claris FileMaker platform some of the headlines were substantially misleading ('FileMaker & the Cloud: How to Build a Fully‑Responsive Mobile App with One Line of Code')!

These results do highlight the value in comparing the performance vs output relevance and quality of different models for different use cases, as well as optimising the use of the temperature parameter.

Previously, we discussed how it is possible to run your own private AI service powered by Ollama using the llama3.2 model on commodity Apple hardware. However, there are many other publicly available models which can work with Ollama, including Google's Gemma, Alibab Cloud's Gwen, Mistral's Devstral, Microsoft's Phi and perhaps the most prominent to the general public, DeepSeek's R1.

Why DeepSeek R1?

As a new and relatively unknown Chinese startup, DeekSeek garnered significant media attention with the release of the R1 model in January 2025 . It had previously been assumed that the large American Mega Cap tech stock's heavy spending on cutting edge infrastructure provided by Nvidia's most advanced chips would provide a significant technological 'moat' to other entrants into the AI market.

DeepSeek's principle innovation was to build a model capable of simulating how humans reason through problems for a fraction of the cost of similar American models (~$6m versus over $100m for OpenAI's GPT4). Even more significantly, DeepSeek uses less memory than rival models and so executing it is less costly for users.

Running DeepSeek's R1 Locally

Ollama works with multiple models and so once it is set-up, it is trivial to swap between models, allowing developers to evaluate the performance and accuracy to determine which is the best fit for your application.

1. Choosing the right model

deepseek-r1:1.5b - 1.1GB size; should run with reasonable performance on an 8GB M series Apple processor (or better).
deepseek-r1:8b - 5.2GB size; should run with reasonable performance on a 16GB M series Apple processor (or better).
deepseek-r1:32b - 30GB size; will likely require 32GB M4 servers Apple processor (or better).

Doing some basic real world tests using a 24GB M3 MacBook, it takes around 9 seconds to execute a query against deepseek-r1:1.5b and around 1 minute to execute a query against deepseek-r1:8b.

The models can all be downloaded from Ollama.com and installed in the same manner as Llama.

So why use DeepSeek R1 instead of Llama? Given the seemly magical responses that LLMs can generate it is easy to forget that they are black box solutions - they can hallucinate and are all built off of different training data sets which may have different inherent biases. Equally importantly they haven't all been optimised for exactly the same task. It is therefore, important to evaluate different real-world applications using your own data to determine which is the best fit. With this in mind, some general observations can be made:

• Slightly heavier memory footprint at the same parameter size (esp. compared to Mistral).

• Not trained with as much Reinforcement Learning from Human Feedback (RLHF) tuning for alignment, so you may need to fine-tune for sensitive apps.

Running outdated Claris software on a public cloud is a significant security risk - there are known vulnerabilities and exploits in older versions of FileMaker which have been fixed in the current version. Your data is at risk of exposure if you don't keep up to date.

Claris works hard to ensure backward compatibility between releases and they are still making use of the same core file format introduced back in FileMaker 12 (.fmp12), but the longer you leave it between updates then the more things are likely to break and the more work is required to plan, test and address upgrade issues. Generally, Claris maintains a window of compatibility between the current release and previous releases, but if you leave it too long then you need to time both the Server and client machines to be upgraded at exactly the same time so that your end user's don't loose access to their Apps.

Large Language Models & Artificial Intelligence

Large Language Models (LLMs) are a type of artificial intelligence (AI) designed to understand and generate human-like language using deep learning techniques. They are built on transformer neural networks, which enable them to process and analyse vast amounts of text data, often spanning billions of parameters, to perform tasks such as text generation, translation and summarisation. Some prominant examples of LLMs include OpenAI GPT-4, Anthropic Claude, Google Gemini and DeepSeek.

These models have revolutionised natural language processing (NLP) by enabling machines to perform human-like communication tasks with remarkable accuracy.

How to use LLMs with FileMaker 2024

All of the LLMs mentioned above offer access via standard JSON/REST API interfaces and Claris FileMaker first introduced support for integrating with REST APIs using the cURL script step all the way back in FileMaker 16 (released in 2017). FileMaker 2024 massively simplifies the complexity of leverage LLMs by adding a bunch of native AI specific script steps including: Configure AI Account, Insert Embedding and Perform Semantic Find .

Configure AI Account - allows you to specify an arbitrary internal reference for sending a specific LLM (i.e. 'DataTherapy Account with OpenAI'), along with the type of model (Open AI, Cohere and Custom local servers are current supported as of 17th Feb 2025) and the API key you have generated to access the LLM service.
Insert Embedding - you specify the AI Account to use (set-up with Configure AI Account), the text data that needs to be input into the LLM, the specific model to use and then the target to insert the vectorised representation of that data that the LLM has generated (this would normally be inserted into a FileMaker Container field).
Perform Semantic Find - carries out a find within the current found set of records, using the specified AI Account, either by natural language query or comparison to a vectorised text file.

Example use case for AI in FileMaker: CV Semantic Search for Recruitment

We have a number of clients using the FileMaker platform for Recruitment (as Consultants or in-house HR Teams). As you might expect, they have extensive databases with thousands (or tens of thousands) of Candidate profiles, usually with a summary of the Candidate's CV stored in a text field. Commonly, the first stage in generating a shortlist for a new role would be to whittle down potential candidates based on their availability, the seniority of the file and salary band, but this can still result in hundreds of suitable applicants that the Recruiter would need to look at or carry out keyword searches on their CV summary in the hope of getting down to a manageable list of 5-10 prospective candidates to contact.

Classic keyword searches can be exceptionally hit and miss - if you looking at CVs for a Marketing position then just about all candidates will mention 'Marketing' in their CV so that isn't a useful way to refine the search. Likewise, too specific a search term might incorrectly rule out candidates that are otherwise qualified - for example, if you searched for an exact match on 'B2B Marketing' then you would miss candidates which has 'B2B and Consumer Marketing' or 'Marketing (B2B)' mentioned on their CV summary.

Clearly, what we need here, is a search technology that focuses on understanding the meaning and the intent behind the Consultant's search query rather than just bluntly matching keywords and this is exactly what the semantic search does. If they did a semantic search for an 'Experienced B2B Marketing Professional with background in IT', then we would want to to pick up on candidates that might mention as varied phrases in their CV as 'Experienced B2B Marketeer', 'B2B Veteran', 'Cloud Services Marketing (B2B)', etc.

How to achieve this in FileMaker? First you need to register with a LLM provider and obtain an API key. Cohere offers a free trial account . Then you just need to set-up 3 script steps:

This first Script, 'Configure AI Account' simply contains the authentication information so that it can be run as a subscript each time the LLM account needs to be used. The 'Embedding Details Data - Applicants' takes the text from the 'Biography' (Text) field and then pushes the vectorised representation from the LLM into the 'Biography_Embedding' (Container) field. In practice you would probably want this to update every time the 'Biography' field is updated via a Script Trigger. Finally, the last Script, 'Perform Semantic Find - Applicants' takes the text from the 'SearchApplicantGlobal' (Global text field), uses the LLM to generate a vectorised representation which is then compared to the contents of the 'Biography_Embedding' field for the current found set of records. This is limited to only returning the 10 matches which only similarity which the LLM judges to be greater than 25%.

You now have a system that will that allows you to carry out semantic searches on the biography of applicants rather than just key words!

Technical considerations

Despite how magical semantic search can seem when it is correctly implemented, it does have some technical constrains which need to be considered in real world applications:

LLMs have different pricing models and subscription fees. In most cases there will be an effective cost per token. While this may be trivial in our example for a handful of CVs/biographies to be embedded, but if you had millions of records then the costs would quickly escalate. Equally, you need to update the embedding whenever CV/Biography is updated - an additional on-going costs.
AI systems offer multiple types of model optimised for different purposes. In the example from Cohere above the 'embed-english-light-v3' model is only suitable English language use and only supports up to 512 tokens being sent per embedding request. The GetToken() function can be used to estimate the no. of tokens that are in a given piece of text in advance of sending it to the LLM services.

Claris FileMaker 19.6 is now End of Life

Still using FileMaker 19.6? Time to upgrade . . .

Claris commits to a 2 year support period for patches to address critical bugs and security issues when each new version of the FileMaker platform is released. After that the release version becomes end of life (EOL) and no new fixes will be released for that version.

Given that the majority of organisations make use of Cloud hosting with servers being publicly accessible over the internet, it is critical to stay up to date with software releases to ensure that your data is as secure as possible.

Claris FileMaker 19.6 was released Dec 2022 and so end of Dec 2024 it is officially EOL and will no longer be supported. If you are still running a FileMaker 19.6 server then you should be making plans to migrate to FileMaker 2023 (supported until Apr 2025) or better still the latest production release FileMaker 2024 (supported until June 2026).

The new Claris Platform represents the latest evolution of the venerable Claris FileMaker Platform. While the FileMaker Platform is a powerful and flexible toolset, it was originally launched in 1985 and conceived to solve the data problems of that era - predating much of the modern internet staples that we are familiar with today like pervasive broadband, mobile computing and cloud services. While an impressive number of new features have been added to the FileMaker platform to modernise it over the years, there were always going to be some areas where it was not an optimal solution given the need to maintain compatibility with previous releases.

The new Claris Platform focuses on offering a new approach to building unified, hybrid apps with a more cloud native approach. Central to this new offering is Claris Studio, a web-based tool for building online web forms, dynamic charts, dashboards and task trackers (see https://www.claris.com/studio/ ). Historically, these are all areas that the FileMaker platform has served poorly out of the box, or has required substantial developer effort utilising 3rd party plugins or integration with other apps and cloud services to work around. The new Claris Platform bundle therefore significantly extents what would be possible with FileMaker alone. However, Claris Studio does not integrate with classic FileMaker Pro and FileMaker Server - instead it works with Claris Pro and Claris Server. In order to get Claris Studio to market and in the hands of developers as quickly as possible, Claris have had to make some compromises and so narrowed their initial platform support and features. This means that while Claris Pro and Claris Server have most of the core features of FileMaker Pro and FileMaker Server there are some important differences - while the new Claris platform is an excellent fit for most new development projects, it is not yet a 'no-brainer' upgrade for existing FileMaker customers that are reliant on some of the older features which are not yet present in the new platform.

Two deciding limitations for many existing FileMaker customers are that: 1) Claris Server only currently runs on the Linux platform - there is no support for running on macOS or Windows servers currently. 2) By design the new Claris Platform needs internet access in order to integrate with Claris Studio and so cannot be 'LAN locked' which may be the case for certain FileMaker solutions due to strict security as can be found in healthcare environments or with very high performance solutions such as video environments.

Apache Log4j security statement for Platopus and Claris FileMaker

Apache Log4j allows insecure JNDI lookups that could allow an unauthenticated, remote attacker to execute arbitrary code with the privileges of the vulnerable Java appli cation using Log4j. CISA has published Apache Log4j Vulnerability Guidance and provides a Sof tware List. See this article for more technical details.

We can confirm that our Platopus platform does not make use of Java and so is unaffected by the Log4j security vulnerability.

The benefits of upgrading to the Claris FileMaker 19 platform: Getting started with Core ML

Machine learning and artificial intelligence are ushering in the next era of computing and it is exciting to see that Claris are at the forefront of providing these serv ices in a way that can be economically used even by small businesses.

Claris FileMaker 19 makes use of the MacOS’ built in machine learning tools. Core ML is Apple’s answer to integrating machine learning models into your app.

Getting started with Core ML and FileMaker

If you download Apple’s Xcode development suite, then you will find it is bundled with the Create ML App. The Create ML App allows you to create a machine learning model file (.mlmodel) which can be used by the new FileMaker 19 Configure Machine Learning Model script step. Create ML App includes machine learning templates for image classification, image object detection, sound classification, text classification and word tagging. For example, I created a test image classifier project and then pointed it at a folder containing 10 sample images (5 cats & 5 dogs). When you click on ‘Train’, it will generate a model file which can then be exported for use in FileMaker.

Within FileMaker, I created a simple database table containing two container fields (one to upload the machine learning model file to and another to upload images) and then output fields for the results of the machine learning (Raw result, Classification and Confidence).

I then added a quick script to load the model, pass it the image to process and then corresponding fields to insert the data back into:

The net result is that I can now add new images to the container and then click on the classify button to run the processing script and it will tell me if it thinks the image is a dog or cat and the degree of confidence in the result. Based on spot testing with a few dozen random images I found online of cats & dogs it does seem impressively accurate given the trivial amount of test data that I used to generate the model.

My example is a pretty silly demo, so how might this be used in the real world and why use Core ML rather than one of the online services?

Firstly, in terms of applications, the most obvious use would be to use FileMaker for rapid automated classification of large-scale digital image libraries. You could very quickly build a custom classification model and then run the system to classify thousands of images with a high degree of accuracy. A more intriguing use would be in the field of biomedical research – if you have access to historical images of confirmed benign and malignant tissue samples then you could potentially create a system to automate the detection of malignant samples for new images.

The second question then is why use Core ML rather than an online service? There are likely to be many applications where there are concerns about data privacy – for example in the biomedical imaging example I gave above not only does there need to be informed consent from the subjects about making use of their data for research purposes, but there is normally specific additional approval required to share that data with 3rd parties and even if that has been agreed then the security measures which need to be put in place to use such data with a cloud service can be onerous. In the care of Core ML, the data used for creating the learning model is all kept and processed locally on the Mac OS or iOS device – neither the model nor the training data is accessible to Apple or any other 3rd party.

Planning your upgrade to Claris FileMaker 19 platform

Claris FileMaker 19 is a significant upgrade to an already great platform custom app platform. While it is a given that one would immediately use the Claris FileMaker 19 platform for developing a new custom App if starting from scratch today, there may be some work to be done if you are planning on upgrading from an older version of the FileMaker platform.

Here is our quick guide of technical considerations to watch out for when updating from previous versions. If you think any of the issues noted are a concern then you are welcome to contact our consulting team for assistance.

Upgrading from FileMaker v12-v18 (.fmp12 format)

Since FileMaker versions 12-18 share the same file format as version 19 there is no need to convert the file. This usually means the file should simply open in the newer version of the application and there are less likely to be significant conversion issues with upgrading.

With FileMaker 16 onwards, in order to produce a more modern ‘app-like’ experience on the desktop, the footer bar which includes the ability to zoom in and out, change working view mode and show/hide the upper status bar has been removed. If your users are making use of these features then they will need to adapt to using the upper status and application menus (for changing mode/status bar) or you may find that you will need to program in zoom control into your interface layouts.

Mixing client versions has always been possible to an extent (i.e. if you have legacy machines which are not able to be upgraded to the minimum hardware or OS requirements to run FileMaker 19, then you can still connect to FileMaker Server 19 using FileMaker 18) - this is more restrictive than in previous versions as there was general compatibility back two version and forward two version for FileMaker 18 and earlier. This tightening of support is in line with Claris’ commitment to releasing new updates more frequently and so it isn’t generally advisable to mix client versions and also it means that you cannot take full advantage of the full FileMaker 19 feature set.

For optimal security and performance both server and all users should be on the most recent software version and patch. To prevent users from accidentally accessing an upgraded server/solution with an older version of the client software, you can set the minimum version allowed to access the file under File > File Options > Open tab.

It is worth checking which features are now deprecated in Claris FileMaker 19 and reviewing if they impact your usage:

Upgrading from FileMaker v6 or earlier (.fp5 format)

It is testament to the longevity of the platform that we still occasionally encounter clients which legacy systems which are running on very old versions of FileMaker. There are potentially lots of issues with converting files that are more than 11 years old, but here are some of the most common issues that need resolving:

The most basic consideration if you have a database file of this vintage is that it isn’t possible to directly convert from v6 or earlier using FileMaker 19. You will need to use an intermediate FileMaker version (v7-11) to convert the file to the .fp7 format which 19 can then in turn convert to the .fmp12 format. FileMaker has a detailed guide on the issues and version compatibility here:

Back in the FileMaker v6 days, you could only specify a password and not a login name – in converting it sets the login name to be the same as the password which obviously isn’t very secure so this will need to be changed quickly post upgrade. FileMaker 18 login names are case insensitive, but the passwords are not so it can be easy to get caught out by this. In many cases it is simplest to remove all passwords under the original version, convert and set-up the security again from scratch.
Typically, since having multiple tables in a single database file wasn’t possible back in v6 and earlier, you may find you have lots of files to convert and re-set-up the login/password security across multiple files. If this is the case and you have complex security group arrangements then it is often more appropriate to set-up FileMaker Server to use Active Directory, Open Directory or the newer OAuth external authentication.
Finally, external file references between files could not be directly accessed in the application in FileMaker v6 and earlier, but are exposed from FileMaker v7 onwards (File > Manage > External Data Sources in FileMaker v18). On occasions when the linked files had been re-linked, or moved between multiple machines this could result in multiple ‘paths’ being recorded to the appropriate related file. These often need clean-up post conversion so that they are set to the correct relative server location. If there are lots of incorrect/’hanging’ references to old paths then this can cause FileMaker to ‘pause’ while it times out looking for the dead link. This can significantly increase the time to open the files and lead to the perception that the Application is being unresponsive.

All considered there are so many interface, calculation, scripting, and integration features that have been added to FIleMaker over the last 11 years, that we would strongly recommend re-writing a solution from scratch to benefit from all of the new technology that is available. Conversion is only a really means to an end to get your data into a format which can be readily worked on with the modern FileMaker 19 platform. By analogy why would you replace your landline telephone or ‘dum’ mobile phone of a pre-2010 vintage with a like for like device in 2020 instead of getting a current generation smart phone? The same principle applies to FileMaker.

General upgrade considerations

In all of the above cases, we are assuming that you have a relatively ‘vanilla’ FileMaker solution without any complex dependencies such as integrations with 3rd party software using legacy integration technology or plugins.

FileMaker plugins will generally need updating to ensure compatibility with FileMaker 19 and in many cases this will be a paid for update. The syntax and functionality of plugins can change between versions, or certain features are deprecated if the core application offers overlapping functionality or similar functionality – this may mean that you will need to re-write elements of your solution scripting to use the new native FileMaker 19 technology or may need to migrate to a different plugin if the old one is no longer being actively developed.

We strongly recommend that clients think seriously about how fit for purpose a legacy solution is before deciding that a simple ‘technocratic’ upgrade is an appropriate approach. Most successful businesses change their processes and focus significantly over time as well as the ecosystem of technologies that they adopt to support their workflow. In many cases, if the client has a legacy FileMaker solution that has not been updated for several years then it is usually more efficient and cost effective to consider developing a new solution from scratch which exactly fits an organisation’s modern requirements if the older system is no longer a ‘good fit’.

The most obvious example of ‘fit’ is that older FileMaker systems were generally not developed with a ‘cloud-first’ or mobile mindset. For the last 3 versions of FileMaker, Claris has put a great deal of effort and resources to ensuring how well the modern platform can be used on the cloud. Equally, with the advent of JSON/REST support within FileMaker 18 onwards and the release of Claris Connect this year there are completely new opportunities to automate repetitive work by integration with 3rd party cloud solutions.

Claris Connect Launches

Claris have now released their new cloud automation platform, Claris Connect.

This represents a major evolution of Claris as a company, since the last time they had a se cond product alongside their premier FileMaker platforms was back in 2011 when they offered the entry-level Bento database product.

Claris Connect is a cloud services integration automation tool - it he lps you quickly build workflows between different cloud applications with the minimum of effort. Now that cloud services have become mainstream, nearly all organisations make use of some form of cloud-based application - from Dropbox for file storage, to Shopify for e-commerce, Microsoft’s Office365 and Google’s G-Suite for email/calendaring.

Historically, Claris’ FileMaker database and app platform has included support for integrating with 3rd party cloud servers via JSON/REST APIs, but such integrations are complex requiring detailed technical knowledge and robust testing approaches. Comparison of the different FileMaker Deployment options

With the release of Claris’ new FM Cloud service there has never been a better time to look again at whether hosting an on-premises server is the best way to deploy your custom FileMaker App. However, there are trade offs with all of the options so it is worth reviewing the advantages and disadvantages of each approach.

1) On-premises server

In the modern, cloud dominated IT landscape, choosing an on-premises server is often seen as an undesirable or legacy option. For most modern customers, given the myriad advantages in being able to connect to your FileMaker App from any internet connection when it is cloud hosted - few would make an on-premises server their first choice. However, this does ignore the fact that there are some scenarios where there is a significant benefit to an on-premises server: firstly, where data security is paramount there is little arguing that when you have a server that is only accessible from within a LAN and isn’t connected to the internet then it will cannot be attacked remotely from the Internet. Secondly, if there is already significant in-house infrastructure investment and IT support team in place in place then the upfront cost might be significantly mitigated and it will simplify integrating with other internal systems. This is commonly the case with many of our NHS clients - patient data security is paramount and so is usually strictly limited to LAN access only.

Advantages

- Can be completely isolated from the internet/limited to LAN access if extreme security is required.

- It is hard to beat direct Gigabit LAN connection for high performance applications.

- Plugins supported.

Disadvantages

- Upfront hardware costs.

- Not quick to rescale.

- Needs in-house or outsourced server administrator.

This is usually the first stepping stone to moving to a cloud based solution as existing FileMaker licensing used for on-premises servers can be easily migrated across and the service is functionally identical to an on-premises option (i.e., with support for ODBC/SQL integration as well as Custom Web Publishing).

3) FileMaker Cloud for AWS

Claris’ first attempt at building on top of Amazon’s Web Services (AWS) platform was an ambitious change in direction. While AWS’ robust and scalable architecture has much to commend it and is well appreciated by enterprise IT teams, there is a steep learning curve if you are not already familiar with the terminology and process for on-boarding and maintaining instances. It does however, discard support for some commonly used technologies like Active Directory and Custom Web Publishing - while these are rightly perceived as legacy technologies compared to OAuth and JSON/REST Data API - there are still a significant number of FileMaker installations that make extensive use of these features which might then exclude FileMaker Cloud for AWS as a viable option.

Advantages

- No upfront hardware costs.

- Plugins supported.

- Quick to scale.

Disadvantages

- Requires IT knowledge and understanding of AWS terminology for on-boarding & management.

- Custom Web Publishing with PHP & XML not supported.

- Doesn’t include SSL certificate.

4) FileMaker Cloud

FileMaker Cloud fixes most of the barriers of entry which FileMaker Cloud for AWS had and significantly improves the ease of use. Even non-technical people can set-up cloud access in a matter of minutes and authentication is relatively easy to manage via FileMakerID. This is however, still very new and still due to be rolled out to non-US data centres so if your country has a regulatory requirement to host data with the territory then this might rule out FileMaker Cloud for now. Equally, while it does offer a best of breed offering, it does come with a significant price tag.

Advantages

- No upfront hardware costs.

- Fast set-up even for non-technical people.

- Quick to scale.

- Includes SSL certificate.

- System Administrator not required.

Disadvantages

- Combined software and service per user subscription fee can make this an expensive on-going cost.

- Plugins are NOT supported.

- Custom Web Publishing with PHP & XML NOT supported.

- No JDBC Support.

- Limited to US based hosting locations currently.

The rebranding of FileMaker, Inc. to Claris International, Inc. will bring a knowing smile to the face of many long standing FileMaker Developers and Mac users that have fond memories of MacWrite and MacDraw.

In 1998, Claris divested itself of all other software products it had inherited from parent Apple in order to focus exclusively on the flagship FileMaker product line hence the change of the name to FileMaker, Inc. to reinforce the importance of the move. This saw the birth of the FileMaker Business Alliance which supported the growth of both the modern FileMaker platform as well as the commercial developer community which companies like DataTherapy have participated in ever since.

Now in 2019, FileMaker Inc.’s return to the Claris brand represents a nod towards both its legacy, but also to its future. Rightly, the new branding helps to frame a new chapter in the company’s direction as it focuses on cloud first products like the up coming Claris Connect - a pivotal product which bridges the gap between on premises and cloud data services.

With the release of FileMaker 18, we’re sure that both newbies to the platform and FileMaker veterans alike will be only to pleased, to see that finally some much needed attention has been given to the file > Import dialog box which has existed without change since circa. 1986. The dialog box has been given a massive interface revamp with a much more user friendly interface and flexible options.

FileMaker 18 Platform has launched with a range of new features that will undoubtedly make developing new custom apps both quicker and more powerful. One area of focus f or these new features is ‘Improved usability’ and includes new features as follows:-

Ability to move objects with Shift-Arrow keys – Using the Shift-Arrow keys in Layout mode now moves objects in increments 10 times larger than when using the Arrow keys.
Ability to Read and write external data files – Create scripts that read, write, and manage external data files—for example, to write log files or export data in a custom file format. This is covered by a range of new file related script steps.
Open files with a version-specific URL – You can now use the fmp18 scheme in URLs to open files specifically with FileMaker Pro 18 Advanced or FileMaker Go 18. The FMP URL protocol has existed for many versions now, but Windows users will be familiar with their OS perhaps defaulting to an older installed version of FileMaker for opening apps - adding this new version specific FMP URL gets around this problem quite neatly.
Open a custom app upon start – You can now use the personalisation file during a command-line installation to specify a custom app to open when FileMaker Pro Advanced starts.
Save files as XML – You can now save a FileMaker Pro Advanced file in an XML format that represents the schema, layouts, scripts, and other parts of the file. You can use the XML file to document changes in your custom app between versions and use standard text-based tools to compare versions.

Work with an account access list filtered by account type, assign privilege sets to users and groups directly in the list, and perform other common tasks in the details pane without leaving the list.
Manage privilege sets, extended privileges, and file access in the Advanced Security Settings dialog box.
See whether the selected authentication type is supported on the file's current host.
Privilege to manage accounts that don't have full access – You can now grant users the limited ability to create and delete access to a file and assign existing privilege sets without allowing them to modify groups or users that have the Full Access privilege set or create or edit privilege sets. New to File Maker 18 Platform:

Unsigned plug-in notification – FileMaker Pro Advanced notifies you when a plug-in has not been digitally signed by its developer.
Full access required by default to reference a file – The option to require the Full Access privilege set to use references to a file is now enabled by default in newly created files. The option is unchanged in existing files.
New functions for digitally signing data have been added to allow you to digitally sign data and verify signatures of signed data with cryptographic keys.

The benefits of upgrading to FileMaker 18 Platform – New Data File Support

One of the most significant enhancements in the FileMaker 18 Platform is the array of new script steps related to external data files. These include ‘Create Data File’, ‘Open Data File’, ‘Write to Data File’, ‘Read from Data File’ and ‘Close Data File’. This ability to read and write to external data files is great new addition to an already strong FileMaker platform, and one for which we envisage a number of useful applications: in FileMaker 17 and earlier has always been possible to export database data to files in tab separated values, comma separated values, DBF, Merge, HTML table, XML and Excel formats. ‘Live’ database data can be queried via Open Database Connectivity (ODBC) and Java Database Connectivity (JDBC) and also https/JSON with the new FileMaker Data API.

So how is this different from the existing features and why is it needed?

Firstly, all of the above methods, only allow for the export and transfer of data which is already within a database table structure. If you wanted to capture debugging information or create a new export then the first step would be to have to create the database structure necessary to store the information and then script to export it. If the information is transient then you may also then need to write maintenance routines to ‘prune’t or delete this information. With the new script steps, data can be captured directly to a variable and this variable is then written to the external data file - no new structure needed, making the code potentially simpler and more portable. This is really helpful when for example, you are writing debugging routines or persistent error logs to be saved on your server at timed intervals..

Secondly, there are many cases where you might want to transform data structure and then export it into another format. I can think on many occasions where I wanted create a simple XML export without having to write XSLT to achieve this quickly. Similarly, it could be used for local dumps of data to JSON or SQL formats for example.

This feature is not without its limitations. FileMaker is limited to writing 64MB of data at a time with the Write to File script step and so for large scale exports it will be necessary to parcel out the writes into 64MB chunks.

Planning your upgrade to FileMaker 18 platform

As we have noted in our previous articles, FileMaker 18 is a formidable upgrade to an already great platform. While it is a given that one would immediately use the File Maker 18 platform for developing a new custom App if starting from scratch today, there may be some work to be done if you are planning on upgrading from an older version of FileMaker.

Upgrading from FileMaker v12-v17 (.fmp12 format)

Since FileMaker versions 12-17 share the same file format as version 18 there is no need to convert the file. This usually means the file should simply open in the newer version of the application and there are less likely to be significant conversion issues with upgrading.

With FileMaker 16/17/18, in order to produce a more modern ‘app-like’ experience on the desktop, the footer bar which includes the ability to zoom in and out, change working view mode and show/hide the upper status bar has been removed in FileMaker 16/17/18. If your users are making use of these features then they will need to adapt to using the upper status and application menus (for changing mode/status bar) or you may find that you will need to program in zoom control into your interface layouts.

While you can mix these client versions to an extent (i.e. if you have legacy machines which are not able to be upgraded to the minimum hardware or OS requirements to run FileMaker 18, then you can still connect to FileMaker Server 18 using FileMaker 16 or 17), this isn’t generally advisable as it means that you cannot make use of FileMaker 18 specific features to users with older client versions.

If you are making significant use of any of these features then you may need t o develop your app around these limitations.

Upgrading from FileMaker v7-v11 (.fp7 format)

You need to convert from the .fp7 to .fmp12 file format before you can open them in FileMaker 17. While converting does create a copy in the new .fmp12 format it is worth remembering there is no way to convert a file back to the older .fp7 format - upgrading is a one way trip! If users still have the old version of the client software then they will be completely locked out of accessing the converted files until they have upgraded to a compatible version

If you were making use of FileMaker Instant Web Publishing under FileMaker v7-11 then it is important to remember this was abandoned in favour of WebDirect for FileMaker v12 and onwards as it makes use of a newer CSS based layout engine.

While WebDirect is significantly more feature rich (and scalable now with FileMaker 18), you may find that you will need to re-implement and optimise layouts for WebDirect access which may not be a trivial amount of effort if you have a complex solution!

Upgrading from FileMaker v6 or earlier (.fp5 format)

There are potentially lots of issues with converting files that are more than 10 years old, but here are some of the most common issues that need resolving:

The most basic consideration if you have a database file of this vintage is that it isn’t possible to directly convert from v6 or earlier using FileMaker 18. You will need to use an intermediate FileMaker version (v7-11) to convert the file to the .fp7 format which 18 can then in turn convert to the .fmp12 format. FileMaker has a detailed guide on the issues and version compatibility here:

Back in the FileMaker v6 days, you could only specify a password and not a login name – in converting it sets the login name to be the same as the password which obviously isn’t very secure so this will need to be changed quickly post upgrade. FileMaker 18 login names are case insensitive, but the passwords are not so it can be easy to get caught out by this. In many cases it is simplest to remove all passwords under the original version, convert and set-up the security again from scratch.

Typically, since having multiple tables in a single database file wasn’t possible back in v6 and earlier, you may find you have lots of files to convert and re-set-up the login/password security across multiple files. If this is the case and you have complex security group arrangements then it is often more appropriate to set-up FileMaker Server to use Active Directory, Open Directory or the newer OAuth external authentication.

Finally, external file references between files could not be directly accessed in the application in FileMaker v6 and earlier, but are exposed from FileMaker v7 onwards (File > Manage > External Data Sources in FileMaker v18). On occasions when the linked files had been re-linked, or moved between multiple machines this could result in multiple ‘paths’ being recorded to the appropriate related file. These often need clean-up post conversion so that they are set to the correct relative server location. If there are lots of incorrect/’hanging’ references to old paths then this can cause FileMaker to ‘pause’ while it times out looking for the dead link. This can significantly increase the time to open the files and lead to the perception that the Application is being unresponsive.

General upgrade considerations

In all of the above cases, we are assuming that you have a relatively ‘vanilla’ FileMaker solution without any complex dependencies such as integrations with 3rd party software or plugins.

FileMaker plugins will generally need updating to ensure compatibility with FileMaker 18 and in many cases this will be a paid for update. The syntax and functionality of plugins can change between versions, or certain features are deprecated if the core application offers overlapping functionality or similar functionality – this may mean that you will need to re-write elements of your solution scripting to use the new native FileMaker 18 technology or may need to migrate to a different plugin.

FileMaker, Inc. certainly has been firing on all cylinders recently to define the relevance of its offering to new users with its Workplace Innovation Platform category. It is worth digging in a little deeper to establish what this means and why it is an important move for FileMaker.

Why now and who is the audience?

This is very much a campaign targeted at building brand awareness for new potential customers. Existing customers know how powerful and flexible a tool FileMaker is and how it can be used for a broad range of industries. However, it can be really hard to communicate the specific benefits until you have had quite a detailed delve into what a potential customer might use it for and given the breadth of uses, this is a significant challenge.

FileMaker, Inc. has therefore taken a leaf from its parent Apple to solve this challenge by defining its market place category in new terms. 1) The workplace has become increasingly dynamic in the modern world

People are no longer necessarily tethered to working from a single physical location with a fixed desktop computer. In the UK, consumer and business landline broadband had only just started to roll out in the early 2000s. iPhones started a mobile revolution when they were released in 2007. Mobile 4G went live in the UK to 98% of the population in 2015. 5G mobile services in the UK are already being trialled 2019.

· While FileMaker doesn’t provide any out of the box LIMS functionality, it is very quick to customise and adapt and the reality is that nearly all LIMS solutions will need some form of tailoring and customisation - an additional cost that is above and beyond the licensing of the software.

· The barebones FileMaker user licensing starts from £12/user/month (which is around a 1/3 of the cost of ‘out of the box’ LIMS solutions.

· Using FileMaker means that you aren’t tied into one particular developer – there is a wide and well-established community of software developers as part of the FileMaker Business Alliance network.

· Labs tend to be much more heterogenous technology environments than a typical corporate office. It is not uncommon to see a mix of desktop Macs, Windows, Linux PCs running alongside iOS/Android tablets and other proprietary diagnostics hardware. FileMaker thrives in this kind of environment as it is runs natively on iOS, Mac OS and Windows, but also via WebDirect it supports browser access for Android and Linux. FileMaker supports data exchange via CSV, Excel, ODBC, XML and REST/JSON – allowing it to be integrated with a broad range of other devices.

· Clinical laboratory environments have understandably strict regulatory requirements about storing client patient information securely. For example, in the NHS, existing data governance requirements often favour on-premises solutions which can be integrated directly with existing trust systems and so making use of cloud hosted solutions problematic. FileMaker has an advantage here as it can be deployed via on-premises on physical or virtual servers, as well as public Cloud (Amazon/AWS) or private Cloud hosting (such as DataTherapy’s managed FileMaker Cloud hosting). Furthermore, it is relatively trivial to move between these different environments as requirements change.

· Laboratory data exchange typically not only requires a common format/standard for transmission, but also significant processing and transformation of the text data to a different data structure i.e., to convert an Electronic Patient Request (EPR) into a format which can be presented in a tabular aggregate as a lab diagnostic workflow list (such as a sample pic list) and finally as results are collated then output to instruments using a communication protocol such as HL7 message. FileMaker has a powerful and flexible text parsing engine which can be quickly used to transform text data between different structures.

· FileMaker is exceptionally good at importing, handling and storing image files, which are increasingly an adjunct to lab data. FileMaker can effectively be a one-stop shop for all the data needed for the analysis of results and reporting on them.

· The popularity of FileMaker within the academic environment means that systems can often be customised by the scientists and medical staff after being built by specialist developers- minor tweaks can be done by laboratory staff themselves if desired.

· Most of all, FileMaker is a genuinely rapid application development platform. Changes to laboratory practice- new reporting requirements, new tests to accommodate, new equipment to interface with- can be accomplished in a fraction of the time that it would take with commercial SaaS installations, if indeed those changes can be made at all.

The Road to FileMaker DevCon 2018

FileMaker iOS App Software Development Kit (SDK) and deployment using the Apple Developer Enterprise Program

For FileMaker 15, 16 and 17, FileMaker Inc. has made available the FileMaker iOS App SDK. With the iOS SDK you can:

· Brand your custom iOS App with a custom icon for ea sy identification.

· Control when you apply FileMaker Go updates to your custom iOS Apps.

· Automate the deployment of your custom iOS Apps via mobile device management (MDM) solutions.

· Your users won’t need to install FileMaker Go and worry about configuring it to access your cloud or private in-house server – this configuration information can be embedded or made configurable within your App.

Making use of the FileMaker iOS App SDK requires a significant appreciation of the wider technology landscape outside of the core FileMaker platform skills that would normally be expected from experienced (or even a Certified FileMaker Developer) and so here is a quick overview of the prerequisites and process:

Prerequisites

1) You must have a valid FileMaker Developer Subscription. If you don’t already have one, then you can purchase one directly from FileMaker – this is £79+VAT/year if you are based in the UK ( https://store.filemaker.com/product/FDS). All FileMaker Developers worth their salt should already have this in place as FDS also provides access to testing only FileMaker platform licensing, access to pre-release software, the new FileMaker 17 data migration tool, as well as the iOS SDK. Once you have an active subscription then you can download the appropriate version of the SDK (see https://community.filemaker.com/docs/DOC-6727).

2) If you want to distribute iOS Apps, then you must have a valid Apple Developer Program subscription (see https://developer.apple.com/programs/). A key consideration is that FileMaker, Inc. does not recommend or support the use of the iOS App SDK to distribute custom iOS apps using the public App Store. Therefore, for distribution outside of the public App Store, you will also need to be enrolled in the Apple Developer Enterprise Program in order to be able to deploy apps in-house (see https://developer.apple.com/programs/enterprise/). There is an annual subscription cost associated with this and you have to be able to meet the following requirements to enrol:

· Your organisation needs legal entity status.

· A D-U-N-S® Number.

· The person carrying out the enrolment must have Legal Binding Authority

· You will need to have a registered Apple ID (see https://appleid.apple.com/account#!&page=create) which has Two-Factor Authentication enabled.

· A website which is publicly available & with a domain registered to your organisation.

3) Access to modern macOS compatible hardware – Xcode does not run on any other platform after all!

Building your sol ution

There are iOS SDKs covering FileMaker 15-17 so you need to have built and tested your solution within the corresponding version – even though the .fmp12 file format is shared dating back to FileMaker 12. Unless you have a good reason (legacy iOS/iPhone/iPad support needed) you should probably be sticking with the latest FileMaker 17 SDK which has the most developed feature set. Some quick considerations would be:

· Are you targeting a single form factor or multiple device resolutions? Make sure you have layouts that are designed to resize and scale and are relatively screen resolution agnostic, or you will need to script to detect the screen/device real estate required and build optimised layouts for each device screen size.

· You need to decide when new versions of your App are issued, should the corresponding embedded FileMaker database file be kept or replaced with each new release? You will need to plan, detect & script for the database to be imported across from the old data file to the new data file if that needs to be preserved or make your users aware that they may potentially lose data.

· Depending on your use case, it may be that little actual data resides on the device and it may simply act as a launcher to a cloud hosted or LAN available FileMaker Server.

· FileMaker Inc. seems to be fully committed to a subscription licensing model and an annual release cycle going by the last few releases in line with Apple’s annual iOS release updates so you should factor in the effort to issue at least an annual release cycle to test and update your App in light of these cycles. Likewise, normally the provisioning profiles generated and issued for the Apple Enterprise Developer scheme are time limited.

Deployment - building & releasing your first .ipa file

Once you have a working App running in your simulator then within your Xcode project you should select Product > Archive to generate a build. You can then view a list of your builds from Window > Organiser. This will show you a list of the Apps and builds you have generated. Select the App and Build version and then under the right-hand ‘Archive Information’ panel select the ‘Export..’ button.

Select ‘Enterprise’ as the method of distribution:

If you know that you only need to support a very specific model of hardware then you can potentially reduce the size of the binary but limit support to that specific type, otherwise you should leave App Thinning to ‘All compatible device variants’. If you will be distributing the App via a Mobile Device Management (MDM) solution then you do not need to tick the option to include the manifest for over-the-air-installation.

If you are planning to redistribute via web then you need to provide the information for the manifest file to be generated:

The first ‘gotcha’ here is that even if you are planning on distributing via a web server, then even if it is an internal server, that server will still need to use https:// and so therefore must have a valid SSL certificate. The second, is that the above example doesn’t highlight that you will need to build a basic webpage which includes a link to the manifest and the mobile profile for the App which has been generated using the Apple Enterprise Developer account and specified within the App’s Xcode project when the build was generated.

For example, the .html page which is used to install the app will need to include these links along these lines:

and

Install the Distribution Profile

The third snag if you aren’t using a MDM solution to push out both the App and the Mobile Provisioning profile in conjunction is that you need to download the app, install provisioning profile and then go to General > Settings> Profile > Enterprise App/[Your authorising organisation] and then click on the option to ‘Trust’ the organisation. If your device already has MDM enabled for another 3rd party then this will appear under a slightly different location - General > Settings> Device Management > Profile > Enterprise App/[Your authorising organisation]

Until this is completed then if you attempt to open the App then you will be warned that it is an ‘Untrusted Enterprise App’.

The final consideration if you don’t have MDM is that you don’t get the benefits of issuing updates via ‘push’ like you do with the public App Store – when new updates are released, users will have to delete the App file and then re-install.

FileMaker 17 marks some interesting and welcome shift by FileMaker Inc's approach to focus on licensing as a platform rather than a per product basis - here is a quick s ummary of so me of the key changes. For the full details, see:

In short, the old VLA and AVLA agreements are being retired in favour of new FileMaker User, Connections and Site licensing schemes. This actually has a lot of positive conse quences:

FileMaker Pro is dead, long live FileMaker Advanced!

FileMaker Pro is no more, instead it has been replaced with its more fully functional cousin FileMaker Advanced - consequently, all users as standard now get the full power of FileMaker Advanced features, such as:

· Live Data Viewer.

· Script Debugger.

· Enable Database Encryption.

· Custom Menus.

· Custom Functions.

· Database Design Reports (DDRs).

· Kiosk Mode Support.

FileMaker for Teams is dead, long live FileMaker Advanced!

In line with FileMaker Pro being discontinued, there is no longer a FileMaker Pro for User Connections – again, all users now get the full FileMaker Advanced feature set.

Simplified license key handling

One license key per contract included in all programs; one key is used for all product installations in FileMaker 17. No need to worry about there being different license keys for Pro, Advanced and Server as you did with FileMaker 16 and earlier.

Multiple server instances as standard

FileMaker User licensing assumes as standard that you will get three server instances.

Previously if you needed multiple servers for development, testing and live production purposes then you can specifically buy additional server licenses, or consider a site license. The new FileMaker User licensing scheme assumes that you will want to potentially run up to 3 server instances as standard and one of these can be used for an AWS FM Cloud instance whereas previously this would have required additional separate licensing.

FileMaker Data API Licensing model

This is no longer a trial feature as it was in FileMaker 16 and is now fully supported in FileMaker 17 as standard. Up to 2GB of outbound data transfer per user per month is now included as standard (tracked in aggregate, annually - i.e. 10 users x 2GB/month = 20GB/month; 240GB/year total allowance). For systems that make heavy use of the FileMaker Data API then additional allowance can be purchased separately.

The benefits of upgrading to FileMaker 17 – GetSensor()

One of the major benefits of the iOS platform is the huge number of built-in sensors for things such as motion tracking and GPS, etc.

FileMaker Go 17 now supports the pu lling data from these sensors with the new GetSensor() function. Simply use GetSensor(parameter). Helpfully calling GetSensor (“available”), will pull back a list of all of the types of sensor available on the device. Here is a quick summary of the core ones:

Air Pressure (“airPressure”)
Step Counts (“stepCount”, “stepFloorsUp”, “stepDistance”)
Magnetic (“magneticField”,”compassMagneticHeading”,”compassTrueHeading”)
Altitude/Speed/Acceleration (“attitude”,”rotationRate”, “accelerationByUser”, “accelerationByGravity”,”speed”, “heading”)
Location (“location”, “locationValues”) and Battery (“batteryLevel”,”batteryStatus”)

How is this useful? There are likely to be lots of niche cases where this function is critical, to illustrate some simple examples:

If you had a custom FM Go App for measuring patient health then you could ask patients to use the App to submit their Step Count data alongside other qualitative questionnaires about their exercise regime.
It you had a custom FM Go App which had an especially performance intensive script which could take some time to run and might adversely effect battery life then you might want to warn the user if they are running low on battery and recommend that they wait until they are plugged in.
It you had a custom FM Go App used in the field by scientists then you could measure and record magnetic and air pressure without requiring additional information.

Planning your upgrade to FileMaker 17 platform

As we have noted in our previous articles, FileMaker 17 is a formidable upgrade to an already great platform. While it is a given that one would immediately use the File Maker 17 platform for developing a new custom App if starting from scratch today, there may be some work to be done if you are planning on upgrading from an older version of FileMaker.

Upgrading from FileMaker v12-v16 (.fmp12 format)

Since FileMaker versions 12-16 share the same file format as version 17 there is no need to convert the file. This usually means the file should simply open in the newer version of the application and there are less likely to be significant conversion issues with upgrading.

With FileMaker 16/17 in order to produce a more modern ‘app-like’ experience on the desktop, the footer bar which includes the ability to zoom in & out, change working view mode and show/hide the upper status bar has been removed in FileMaker 16/17. If your users are making use of these features then they will need to adapt to using the upper status and application menus (for changing mode/status bar) or you may find that you will need to program in zoom control into your interface layouts.

While you can mix these client versions to an extent (i.e. if you have legacy machines which are not able to be upgraded to the minimum hardware or OS requirements to run FileMaker 17, then you can still connect to FileMaker Server 17 using FileMaker 15 or 16), this isn’t generally advisable as it means that you cannot make use of FileMaker 17 specific features to users with older client versions.

For optimal security & performance both server and all users should be on the most recent version and patch. To prevent users from accidentally accessing an upgraded server/solution with an older version of the client software you can set the minimum version allowed to access the file under File > File Options > Open tab.

It is worth checking which features are now deprecated in FileMaker 17:

If you are making significant use of any of these features then you may need to develop around these limitations

Upgrading from FileMaker v7-v11 (.fp7 format)

While WebDirect is significantly more feature rich (and scalable now with FileMaker 17), you may find that you will need to re-implement and optimise layouts for WebDirect access which may not be a trivial amount of effort if you have a complex solution!

Upgrading from FileMaker v6 or earlier (.fp5 format)

There are potentially lots of issues with converting files which are more than 10 years old, but here are some of the most common issues that need resolving:

The most basic consideration if you have a database file of this vintage is that it isn’t possible to directly convert from v6 or earlier using FileMaker 17. You will need to use an intermediate FileMaker version (v7-11) to convert the file to the .fp7 format which 17 can then in turn convert to the .fmp12 format. FileMaker has a detailed guide on the is sues and version compatibility here:

Back in the FileMaker v6 days you could only specify a password and not a login name – in converting it sets the login name to be the same as the password which obviously isn’t very secure so this will need to be changed quickly post upgrade. FileMaker 17 login names are case insensitive, but the passwords are not so it can be easy to get caught out by this. In many cases it is simplest to remove all passwords under the original version, convert and set-up the security again from scratch.

Finally, external file references between files could not be directly accessed in the application in FileMaker v6 and earlier, but are exposed from FileMaker v7 onwards (File > Manage > External Data Sources in FileMaker v16). On occasions when the linked files had been re-linked or moved between multiple machines this could result in multiple ‘paths’ being recorded to the appropriate related file – these often need clean-up post conversion so that they are set to the correct relative server location. If there are lots of incorrect/’hanging’ references to old paths then this can cause FileMaker to ‘pause’ while it times out looking for the dead link – this can significantly increase the time to open the files and lead to the perception that the Application is being unresponsive.

General upgrade considerations

In all of the above cases, we are assuming that you have a relatively ‘vanilla’ FileMaker solution without any complex dependencies such as integrations with 3rd party software or plugins.

FileMaker plugins will generally need updating to ensure compatibility with FileMaker 17 and in many cases this will be a paid for update. The syntax and functionality of plugins can change between versions or certain features are deprecated if the core application offers overlapping functionality or similar functionality – this may mean that you will need to re-write elements of your solution scripting to use the new native FileMaker 17 technology or may need to migrate to a different plugin.

We strongly recommend that clients think seriously about how fit for purpose a legacy solution is before deciding that a simple ‘technocratic’ upgrade is an appropriate approach. Most successful businesses change their processes and focus significantly over time as well as the ecosystem of technologies that they adopt to support their workflow. In many cases if the client has a legacy FileMaker solution that has not been updated for several years then it is usually more efficient and cost effective to consider developing a new solution from scratch which exactly fits an organisation’s modern requirements if the older system is no longer a ‘good fit’.

FileMaker & the General Data Protection Regulation (GDPR) part 3: a quick look at the headlines

Public awareness of data protection has significantly hit the headlines this month with revelations around the alleged misuse of Facebook data by Cambridge Analytica.

Ac cording to this analysis by Goldman Sachs, Facebook could lose $2.8 billion of its revenues under GDPR. Ironically, failure to comply with these regulations can result in a fine of up to 4% of global revenue, but Goldman Sachs estimate that a proper implementation of strict GDPR controls by Facebook could hit revenues by around 7%.

Closer to home, the Royal Mail Group has been fined £12,000 this month by the Information Commissioner's Office after sending more than 300,000 nuisance emails. On two dates in July 2017, the company sent emails to 327,014 people who had already opted out of receiving direct marketing. When GDPR comes into effect this May, fines of up to 4% of Royal Mail Group could be potentially up to £391M (assuming financial performance comparable to 2016-2017).

Given the prevalence of either using the FileMaker platform for CRM and generating bulk e-mails directly or integrating with a 3rd party mail platform such as MailChimp, this highlights how essential it is to review any automated processes that your organisation might have in place and ensure that they are properly handling flagged opt-outs.

FileMaker & the General Data Protection Regulation (GDPR) part 2: how much can a single e-mail cost you?

As we count down to the 25th May 2018 when the General Data Protection Regulation (GDPR) comes into full effect, it is useful to keep an eye on real world examples of is sues that are likely to crop up and tie that back to a scenario which could realistically be seen within a typical FileMaker solution. If you haven't read our first post on GDPR preparation for FileMaker users then click here.

A common use of the FileMaker platform is customer relationship management, tracking enquiries and the conversion into actual customer, managing the logistics and billing of that work. It would be unsurprising for many FileMaker solutions to have customer names, record IDs/account codes and an e-mail address.

It is very common, when talking about data breaches for people to usually think of the dangers of 'rogue hackers'/external threats, when in reality it is more often the internal threats posed by negligent or disgruntled employees. With this in mind, when I was reviewing examples of recent fines and enforcement rulings on the Information Commissioner's Office, one recent ruling immediately jumped out as it struck me as being so relevant to many typical FileMaker based CRMs:

18th January 2018 - SSE Energy Supply Ltd

Essentially, SSE Energy Supply Ltd made a very simple mistake: one of their customer service team e-mailed the wrong account number and surname to a SINGLE customer. While this was recognised as a data breach and internally logged, it wasn't reported to the ICO within the required 24hrs of being logged and so subsequently SSE Energy Supply Ltd was issued with a fixed penalty fine of £1,000 - ouch!

FileMaker scripting can be used to fully or semi-automate email responses using standard templates for common queries, meaning that there is much less potential for these kinds of data transcriptions errors which can lead to an accidental internal data breach.

Getting your FileMaker solution ready for the General Data Protection Regulation (GDPR)

The General Data Protection Regulation (GDPR) comes into effect 25 May 2018: the intention is to strengthen and unify data protection for residents and citizens within t he European Union. A primary goal of the act is to give people back control over their personal data and simplify the regulatory environment for international business with the European Union.

It is important to note that in 2016 the ICO issued £880,500 of fines against companies last year, but that this would have been likely to be £69 Million under the new GDPR regulations according to an analysis by the NCC Group ( see https://www.theregister.co.uk/2017/04/28/ico_fines_post_gdpr_analysis/). If you have been thinking that Brexit is likely to save you from having to implement GDPR compliant procedures then think again as it is likely that the UK regulatory framework will have to stay as close to the EU framework as possible in order to ensure that trade is not impacted (see http://www.blplaw.com/expert-legal-insights/articles/gdpr-and-brexit-uk-government-unveils-data-protection-plans/).

For many organisations using the FileMaker platform, there will be an element of their custom App or database which will have an individual’s contact information (Name, email, telephone numbers, job role and address) which falls under the definition of ‘personal data’ in GDPR. Consequently, if you are using FileMaker, you will have to examine the implications of GDPR and modify your system and business processes to ensure that they are compliant. The good news is that since FileMaker is optimised for custom development, it is usually quick to adjust to meet new regulatory requirements like GDPR (which is not always the case with off the shelf software).

Here are a couple of highlights of issues that you might need to address and what that would mean in the context of a FileMaker database or app:

Information Sharing

The GDPR requires that you keep records of your processing activities in a networked world: if you have inaccurate information and it is shared with another organisation, you will need to inform the other organisation about the inaccuracy so that their records can be updated.

Therefore, it is necessary to map out all of the inputs and exports that you feed and are generated by your database. For example, it is common with FileMaker to use open database connectivity (ODBC) drivers to synchronise data with 3rd party SQL systems (such as Oracle, MySQL or MS SQL) or to integrate with a web service using cURL and REST API – so an important first step would be to document all of these integration points and highlight any cases where personal information is being exchanged and confirm there is a mechanism in place to issue corrections.

Subject access requests

Individuals have the right to request to be informed of what data you have recorded about them and in a tightening of the legislation compared with the Data Protection Act, you have only 1 month to comply with a request rather than 40 days. If your organisation handles a large number of requests then you may need to look at improving the efficiency of processing these requests more quickly. If you have your data within FileMaker then you may find it useful to build new interfaces to log the tracking of these requests and script the generation of suitable exports (Excel/CSV) or PDF reports to provide an overview of the information being held.

Consent

GDPR sets a higher standard for consent than the Data Protection Act – see:

Notably GDPR specifically bans pre-ticked opt-in boxes. If you use your FileMaker system for CRM and are historically used to defaulting a flag field for adding a new prospect to a mail/email mailing list then this would need to be turned off. Along a similar line if you are synchronising email lists with 3rd party online services like MailChimp then you need to be conscious of ensuring that if people opt out of communications that this is respected across all the systems you are using.

C hildren

GDPR brings in special protections for children’s personal data and sets 16 as the age of consent for data processing. If your organisation offers online services to children then you need to obtain consent from a parent or guardian and so you may need to put processing in place to verify an individual’s age. For example, if you used FileMaker Go on an iPad to present a consent form and obtain a digital signature, it would be prudent to include fields to capture and check age based on their date of birth.

Data Protection by Design and Data Protection Impact Assessments

GDPR makes privacy by design a legal requirement and data protection impact assessments (DPIAs) mandatory where new technology is deployed, a profiling operation is likely to affect individuals or where there is processing on a large scale.

FileMaker 16 includes a plethora of features which can be used to secure solutions, protect privacy and minimise the chance of data breaches so it is worth reviewing your security arrangements and determining if it is appropriate to make adjustments:

Limit Full Access accounts and turn off auto-login – by default, a new FileMaker file will have a single full access account with the login ‘Admin’ and no password. This password should be changed as soon as a solution goes into production use with real data. Auto-login can be turned off under File > File Options. FileMaker 16 server by default will not allow you to host and open a file which contains a full access login with no password set.

Use Custom privilege sets – it is prudent to always create custom security privilege sets, rather than relying on the default ‘Data Entry Only’ settings for standard users. As a minimum, you may want to turn off the ability of regular users to routinely print or export data. FileMaker offers full granularity to specify in its security model, which fields and layouts can be accessed by a user and whether new records can be created, modified or deleted in a table. You can also choose a minimum password length and enforce having to change it every X days.

Check Extended privileges – The X in the ‘fmreauthenticateX’ extended privilege controls how many minutes that FileMaker can be left in sleep/background before it requires a user to re-authenticate. By default this is set to 10mins, so if you handle sensitive personal data then it may be prudent to reduce his timing to force re-authentication after a shorter period.

Make use of Active Directory/OAuth for managing security. Delegating authentication to Active Directory or OAuth provides two obvious benefits: the password can be used across multiple files and centrally managed with strict rules on password length and complexity. As AD is normally managed centrally, there should be a standardised process for leavers to be removed and so it is less likely that accounts will be left active for longer than they should be available.

Limit File Access. By default, one FileMaker file can be linked and referenced within another regardless of the privilege set access level that the user has to the file. This can be restricted to only allow users with full access privileges for explicitly authorised files (see File > Manage > Security > File Access tab).

SSL Encryption in flight. FileMaker Server 16 is now much more explicit when there isn’t a properly configured and valid SSL certificate from a supported provider in place. This is essential if you are accessing via a WAN connection.

AES 256 Encryption at rest. It is possible to encrypt FileMaker database files using FileMaker Advanced 16 – this ensures that even if your network and server are compromised, it will be practically impossible to access the data without also having a copy of the encryption key to decrypt the file. We now recommend doing this as standard for any system which includes personal data.

Use secure storage to encrypt container fields. Documents that you have uploaded to container fields can be stored in an encrypted format in an external folder alongside your database files. This is especially prudent if these documents contain personal or sensitive information (i.e. scans of passports for proof of identity, etc).

Encrypt data within fields. In the past, 3rd party plugins were required to encrypt and decrypt field level data within FileMaker. Now with FileMaker 16 there are native functions such as CryptEncrypt/CryptDecrypt. For highly sensitive personal data such as medical information or credit card data there is a good argument for doing this as standard.

The benefits of upgrading to FileMaker 16: a quick look at OAuth

Historically, FileMaker has supported single sign-on authentication by Active Directory (Windows) or Open Directory (Mac OS X) via integration with FileMaker Server - wh en deploying your Custom App to your team this means that there is one less password for users to have to remember. FileMaker 16 has now further improved on this by integrating with three major external cloud authentication providers so that you can login in via Amazon, Google and Microsoft Azure.

As highlighted in our last article, cyber security is an ubiquitous concern in the modern world and the importance of creating good quality passwords to systems containing confidential business data cannot be underestimated. This puts the onus on us all to remember these good quality passwords, and carries the overhead of needing a good system to manage all the passwords that we need in a secure way.

FileMaker 16 is now doing its bit to reduce some of this headache and provide a more integrated experience by adding support for OAuth 2.0 - which is undoubtedly one of the key advantages of upgrading if you want to create an App with a modern approach to handling security.

Essentially, OAuth 2.0 allows you to integrate with external cloud authentication providers within your existing FileMaker ecosystem - here is a quick overview of the steps required:

First, enable external authentication with the FileMaker Server Admin Console - it then provides step-by-step instructions within the dialogues for each external provider:

Once this is done you select the accounts that will authenticate externally from within FileMaker Pro:

When your selected user next logs in they will see the Amazon button that will allow them to authenticate for the FileMaker app:

If the server had all 3 enabled you would see all 3 icons on your login dialog. These accounts work the same way as local FileMaker accounts, Open Directory and Active Directory accounts; they are bound by the same credential management system in the FileMaker File>Manage Security dialog. This feature is not enabled by default on FileMaker Server.

Even with the step-by-step instructions in the admin console, it can be an intimidating process to integrate your FileMaker app(s) with 3rd party providers. Also the above example, bypasses the potential complexity of the security arrangements that you might already have set-up or may yet need implementing. The benefits of upgrading to FileMaker 16: Security Enhancements

Security considerations have always been a priority when building a Custom App, but now we are in the 'cloud-age' it is even more critical to get it right from the outset and to periodically audit. Recent events in the UK such as the NHS ransomware cyber-attack only brings this into sharper focus.

FileMaker 16 has further improved on an already strong set of security features in FileMaker 15 with a number of important enhancements:

• HTTP Strict Transport Security (HSTS) optional setting requires that web-client connections use SSL encryption. Although SSL for database connections has long been a part of FileMaker Server this new setting forces web clients (e.g. WebDirect users) to access your FileMaker data over HTTPS connections. Once the web client has completed an HTTPS connection, the web browser prevents the user from downgrading to HTTP connections. This new option is recommended as a simple belt and braces measure.

• OAuth 2.0 support for accounts allows you to integrate external authentication providers within your eco system right within the FM platform. This supports Amazon, Microsoft Azure & Google and is controlled by FileMaker Server. If your server has all 3 configured and enabled you will see all 3 icons on your FileMaker Pro login dialog. Single sign on authentication is a popular modern feature that FileMaker have adopted for your convenience.

• Clickable security lock icons. FileMaker Pro has for long indicated the security of your connection to a FileMaker Server via a range of padlock icons. A single click on the padlock icon now provides more details about the security of your connection e.g. certificate details and validity or suggestions for an insecure connection.

• Field-level text encryption Is an extra layer of protection for your data. It enhances the already existing comprehensive access restrictions that can be found in the manage security dialog where you can limit access to tables,layouts and fields by privilege set. The new encryption functions can be built into a solution’s logic in order to easily and securely encrypt text or container fields containing sensitive data. Then you can program to either a) allow users access to the decrypted field data when they enter the correct password or b) program your chosen conditions (e.g. specific users) under which to decrypt and display the previously encrypted field data.

• There are 3 new extended privileges to lock down access to external interactions with your FileMaker data by privilege set. ‘fmrest’ determines whether members of a privilege set can access the database file from a web service via the new FileMaker Data API available with FileMaker Server. ‘fmurlscript’ determines whether members of a privilege set can run FileMaker scripts from URLs; called using the FMP URL protocol. ‘fmextscriptaccess’ determines whether members of a privilege set can use external applications such as Apple events and ActiveX to control your FileMaker app. If a user’s privilege set does not have the privilege enabled for one of these actions that they perform, they will see the standard FileMaker error; ‘Your access privileges do not allow you to perform this operation’.

Even with the additional security enhancements of the FileMaker 16 platform, it can be an intimidating process to lock down your Custom App if you are new to the FileMaker platform so if you are not sure where to start you can always contact our consulting Team for a security audit.

When you have deployed your Custom App to your team and they have started to use it in earnest, at some point you will inevitably be asked to see how it can be made quicker.

Custom Apps can have very complex workflows and data models - something which was efficient enough when you had a few thousand of records, might need some significant optimisation when you hit hundreds of thousands or millions of records. While it is a common response in IT to solve performance problems with newer hardware, often a smarter approach is more economic (or may be the only option if you have just updated your hardware and it still isn't as quick as you would like). However, optimising Custom Apps can be technically challenging regardless of the experience level of the developer and so where should you begin?

FileMaker Server 15 now includes a feature called 'Top call statistics log', which in our opinion justifies the upgrade price alone if you want to speed up your Custom App performance.

Essentially, The log describes in detail the client requests (up to 25) that have the taken the longest elapsed time - from this you can get a good idea of which layouts, scripts and database tables are likely to benefit from some performance tuning.

Setting this up is a simple as one click in the FileMaker Server Admin Console:

Once this is done you can view the new log file in your server's log folder:

The log file can be opened in Excel or FileMaker Pro for further analysis:

It is important to note that this level of logging will itself be a significant performance hit and so should not be routinely enabled, but instead be used tactically to collect information only for short periods of time. Furthermore, you need to be aware that if you restart FileMaker server then this is automatically disabled by default.

Even with the detailed information that is provided in the Top Call Statistics, it can be an intimidating process to optimise your first Custom App if you are new to the FileMaker platform so if you are not sure where to start you can always contact our consulting Team for a second opinion.

How will the new Script Workspace affect the way you develop solutions with FileMaker 14?

The new Script Workspace is a big move forward. The old script editor, while very familiar to long standing FileMaker developers like myself who had grown with it, could potentially be off-putting to newer developers used to traditional software development environments (that have features like predictive type ahead and syntax code colouring). The new interface for Script Workspace does a great job of balancing the needs of both the seasoned and new developer alike; there are plenty of refinements which make working with scripts much friendlier and more efficient for both.

FileMaker WebDirect is up to 25% faster – will this help to bolster the mobile solutions that you can now offer clients?

It’s always pleasantly surprising and welcome when a software upgrade improves performance. In IT, people have generally got very cynical, as many upgrades frequently add to functionality, but at the cost of performance and speed. It certainly makes mobile development more viable for customers that may have an existing investment of slightly older devices, not to mention catering for the instantaneous response that many mobile users have now come to expect.

How do you think the new FileMaker 14 features and functionality will save time when developing?

I can easily imagine that the host of new features will make most developers more efficient in their general processes – more so when working on solutions which are interface or scripting intensive. When you add these time savings up across a month, or an entire year – it’s passing on major operational savings to technology consultancies that use FileMaker as their primary development platform.

How will FileMaker 14 make your job easier?

Ultimately, as a consultant, FileMaker 14 will make it quicker for me to be able to develop compelling business systems to my customers in less time, and to a higher quality. FileMaker has always been good at building bespoke solutions for niche markets and unusual needs quickly. FileMaker 14 simply builds on this solid foundation, with its new features and functionality making it even quicker to get a new solution up and running. It’s a win-win solution!

FileMaker 14 - Why I'm really excited!

It's finally here! FileMaker 14 has been launched and contains more updates than I have seen in many years of looking at new versions of FileMaker. Overall I have to admit I'm pretty excited!

There are changes present all over the platform and I can tell you that during a recent FileMaker Business Partner briefing, it took over 5 hours to go through the complete list of changes!

Firstly, there are major improvements to Web Direct performance which is good news as performance is one of the first things I look for when software is updated. There is also a reassuring new solution launch screen which goes some way to addressing one of my crusades - simpler access for the end user. For the programmers, there is a completely re-imagined script editor which will help those who are used to setting up and coding in alternate development platforms.

The biggest overall benefit comes from the speed at which new solutions and layouts can be built. New layout features such as glyphs (icons to you and me) and navigation bars make good looking layouts far simpler to produce which translates to less time spent on designing layouts (better value for clients) and better looking results.

I am really looking forward to seeing our first 'pure' FileMaker 14 solutions and we will be talking to our customers over the coming weeks about how to make the most of this upgrade.

FileMaker helps Alletson Arnold's profits grow 577%

The Challenge

Founded in 2003, Alletson Arnold is a company with a dedicated purpose -- processing vital immigration papers in pressing timescales. Operating in the field of immigration administration, managing director Jeremy Arnold has grown a business from the ground-up that specialises in the complicated and highly time sensitive movement of documents through the government agency.

In the fast moving world of immigration, organisation is everything. Papers and documents need to be processed on time, or people's entire lives can grind to a halt while the right visas and applications make their way through the various embassies and official bodies.

Alletson Arnold's customers typically include law firms, who in turn handle work permit applications for their own clients, usually large corporations seeking to employ foreign nationals in the UK.

That process requires a large number of sensitive documents -- often including passports, marriage and birth certificates -- to be moved around the government agency sites in Sheffield and Croydon. Alletson Arnold manages the journey of those documents, ensuring that once applications have been completed, they are returned with all relevant papers back to the client. With hundreds of applications submitted on a regular basis however, the management of it is an information intensive task.

As Arnold puts it: "It didn't take a rocket scientist to figure out that some form of business automation would need to be put in place, but I wanted to be in control of what is a people business and not become subservient to a computer system: The 'computer says no' scenario was not for me." So in 2010 he visited DataTherapy who helped him to implement a FileMaker based system.

"It was all about getting better organised. We tracked everything through piles of paper notes and, almost overnight, found we could record each job and enter progress updates into the database remotely, as they occurred, using an iPad. The big bonus for me was being able to track each passport or visa application in real time and know exactly what its status was. Rather than emailing and calling clients 30 times a day with updates, automatic emails are now distributed via the database. We save time and cost and the customers get a better service. What's not to like?"

As Alletson Arnold's employee numbers have grown, Arnold has been able to use FileMaker to manage their time sheets; staff who are paid by the hour sign in and out using an iPad with signature capture (verified by a team leader). Importantly, the system simultaneously enables the effective management of staff and vastly decreases the manpower required to undertake basic administrative tasks. "Without FileMaker my workforce would need to be dramatically larger to deliver the same results," notes Arnold.
